Lapsed insurance is one of the top reasons contractors get suspended from supplier accounts and lose jobs. Same with expired licenses. Plyrium gives you one place to keep your compliance docs + automatic email reminders so renewal never sneaks up on you.
Uploading a document
- 1Go to Settings → Compliance documents
Owner-only. The page shows expired / urgent / current counts at a glance.
- 2Click 'Upload document'
Pick your file (PDF, image, or Office doc, up to 25 MB).
- 3Set the type
Contractor license / Insurance / Workers' comp / Auto / Bond / Cert / Permit / W-9 / Other. The type is for organization — it doesn't drive automatic behavior.
- 4Set the expiration date
When the doc lapses. Leave blank for things that don't expire (W-9 forms, etc.). Reminders only fire when expires_at is set.
- 5Optional: issuer + policy/license #
Useful for renewal — when you call your insurance broker next year, you don't have to dig through email for the policy number.
- 6Save
Plyrium uploads + indexes the doc. You're done.
Reminder cadence
| 30 days out | Friendly heads-up email. |
| 14 days out | Reminder — call your broker / renew now. |
| 3 days out | URGENT — renew now or you'll lapse. |
| Past expiry | EXPIRED — sent when it lapses. |
Each tier fires once per document so you don't get spammed. If you update the expiration date (say, you renewed but forgot to swap the file), all four reminder tiers reset and the new date alerts fresh.
Replacing a doc with a renewed version
- Upload the new version (with the new expiration date).
- Archive the old version — keeps it in your history without firing reminders.
- Don't delete the old one unless you really mean to — archived docs stay searchable + downloadable; deleted ones are gone.
What you can upload
- Contractor license — state ROC #, master plumber license, electrical, HVAC, etc.
- General liability insurance certificate (COI)
- Workers' compensation insurance
- Commercial auto insurance
- Surety bond
- EPA Section 608 / NATE / equivalent technician certs
- City permit / business license registration
- Hazmat / DOT registration
- W-9 / tax exempt forms (no expiration tracking)
These uploads are owner-only. Other team members (dispatcher / tech / billing / viewer) cannot see them. Files live in a private storage bucket; only you, via signed URLs that expire after 10 minutes, can download.
We track expiration dates and remind you. We don't verify that the doc you uploaded is real, current, or accepted by your specific licensing authority. You're responsible for keeping your own compliance straight — Plyrium just keeps you from forgetting.
