Managing your customer list

Add, edit, search, and import customers — plus what each card on the customer detail page actually means.

Every homeowner or business you've worked with lives on /portal/customers. Cards show name, lifetime value, contact details, last activity, and notes — sorted newest-first by default with full-text search across name, email, phone, address, and notes.

Adding a customer

    Click 'Add customer'

    Top of the customers page. Opens a modal — no full-page navigation.

    Fill in what you have

    Only Name is required. The rest (phone, email, address, notes) can be added later. Notes are visible to your team but not the customer.

    Save

    Lands on the list immediately. Click the card to open the detail page.

Auto-creation from quotes

When a customer accepts a quote via the public link, they're automatically promoted to a customer record. You don't have to add them manually.

The customer detail page

Click any customer card to open their full profile. The page is organized top-down:

  • Contact bar — name, email, phone, address, plus 'Send portal link' / 'New quote' / 'New invoice' buttons.
  • Money summary — lifetime value, jobs done, last activity, upcoming work.
  • Equipment installed — water heaters, HVAC, fixtures, etc. with serial numbers + warranty status.
  • Quotes / Invoices / Appointments — full timeline for this customer.
  • Notes + delete — internal notes (team-visible only) and a hard-delete button.

Searching

The search bar matches across every field — name, email, phone, address line, city, state, postal code, and notes. Type a few characters; results filter as you type. The 'Recently added' / 'Name A-Z' / 'Name Z-A' sort matches the standard sort options across the portal.

High-value customer marker

Customers who've paid more than $500 lifetime get a copper avatar tone instead of grey — quick way to spot your repeat business.
