Customizing email templates

Override the copy of every email Plyrium sends on your behalf — appointment reminders, tech-on-the-way, review requests, quotes, invoices, more. Live preview + send-test.

By default, Plyrium sends polished emails to your customers using copy we've tested with hundreds of real contractors. When you want a more personal voice — your shop's tone, a specific signature, an offer at the bottom — Settings → Email templates lets you override the default for any kind of email.

What you can customize

  • Appointment reminders (sent the day before).
  • Tech-on-the-way alerts (when a tech taps 'On the way' from /portal/tech).
  • Review requests (sent 2 hours after job completion).
  • Private feedback emails to you (when a customer leaves <4 stars).
  • Quote sent emails + reminder follow-ups.
  • Invoice sent emails + overdue reminders.
  • Maintenance reminders (annual tune-ups, etc.).
  • Save-card-on-file links.

How the editor works

    Pick a template

    Settings → Email templates lists every customizable kind. The list shows status — Default (using Plyrium's copy), Customized (you've overridden), or Disabled (template won't fire).

    Edit the subject + body

    Plain-text body is required. HTML body is optional — leave blank and Plyrium auto-wraps your text in basic paragraphs.

    Use variable placeholders

    Things like {{customer_first_name}}, {{appointment_time}}, {{business_name}}. Click any chip below the editor to insert it. Variables get replaced with real customer data when the email actually sends.

    Preview live

    Right pane shows what the customer will see, rendered with sample data. Updates as you type. HTML/Text toggle to see both formats.

    Send a test

    Click 'Send test to me' to receive the rendered version at your account email. Lets you check it in your actual mail client (Gmail, Outlook, etc.).

    Save

    Clicking save makes it live — future sends use your version. Previous version is archived (last 5 kept).

Variables

Each template has its own list of allowed variables — typing {{customer_first_namee}} (typo) into a template will fail loudly when the email tries to send rather than rendering literally to the customer. The chip strip under each text area shows everything you can use; click to insert.

From name + signature

  • From name: override the sender display name (e.g. 'Plumb Vine Customer Service' instead of just 'Plumb Vine'). The actual email address stays noreply@plyrium.com — domains other than plyrium.com require Resend domain verification per email provider.
  • Signature: appended below the body in a muted footer. Good place for license numbers, second phone number, social handles, etc.

Reset to default

If you decide your customization wasn't an improvement, the 'Reset to default' button on the editor reverts to Plyrium's curated copy. Your version is archived in the last-5-versions history; if you change your mind again you can restore it.

Day-zero behavior

Fresh signup = no overrides anywhere = customer emails are bit-identical to the defaults. Customizing is opt-in. You can run for years on defaults if you want.

Don't sneak marketing into transactional emails

Carriers + spam filters scrutinize transactional emails (appointment reminders, invoice sends) for promotional content. Keep marketing in the dedicated marketing surfaces. A footer signature with a phone number is fine; a 'BIG SALE' banner in the appointment reminder is not.
